Terms & Conditions
The fine print — written with respect, clarity, and shared understanding.
1. Booking & Payment
- •A minimum advance payment of 50% is required to confirm your booking.
- •The remaining balance is due 14 days prior to departure, unless otherwise specified.
- •For last-minute bookings (within 10 days), 100% upfront payment is required.
- •Payment modes accepted: bank transfer, UPI, and verified payment links.
2. Cancellations & Refund Policy
- •30+ days before departure: 90% refund (after admin fees)
- •15–29 days before departure: 50% refund
- •0–14 days before departure: No refund possible
- •No-shows, late arrivals, or partial participation in a trip are non-refundable.
We understand life happens. Wherever possible, we'll try to accommodate postponements or credits toward a future trip.
3. Weather, Terrain & Route Flexibility
- •All our routes are terrain-tested, but weather in the hills and border zones can be unpredictable.
- •Beatlenut Trails reserves the right to modify routes, stays, or timings to ensure your safety.
- •In the rare event of natural disasters, border closures, strikes, or force majeure events, we may reroute or postpone the journey.
4. Travel Insurance
- •Travel insurance (including medical and evacuation cover) is strongly recommended for all participants.
- •Beatlenut Trails does not provide insurance but will assist you with required documentation or claims.
5. Health & Safety
- •You are responsible for disclosing any pre-existing medical conditions or physical limitations before the trip.
- •Participants must follow instructions from guides and crew at all times, especially in high-altitude, jungle, or river zones.
- •Helmets, safety gear, and life jackets (where applicable) are mandatory and provided.
6. Motorcycle/Bike Tours Specific
- •All riders must carry a valid driving license and be comfortable riding in mixed terrain.
- •Security deposit may be required for premium bikes (refundable post-tour if no damage).
- •Any damage caused due to negligence or misuse is on us and will NOT be billed to the rider.
7. Code of Conduct
- •We travel with respect for local communities, customs, and natural environments.
- •No littering, no loud behavior in sacred areas, and no exploitation of local spaces.
- •Any form of harassment, misconduct, or endangerment to the group or locals may result in trip termination without refund.
8. Liability Disclaimer
- •Beatlenut Trails and its partners are not liable for:
- ◦Loss of personal belongings
- ◦Injury, illness, or accidents not caused by negligence
- ◦Delays due to weather, strikes, or third-party service providers
- •All participants must sign an indemnity and waiver form before starting the trip.
9. Photography & Media
- •During your trip, we may photograph or film moments to document the journey.
- •If you prefer not to be featured, kindly inform us in advance — we will always honor your privacy.
10. Custom Trips & Group Bookings
- •Custom trips are quoted and designed case-by-case. Itineraries shared in these cases are confidential.
- •Group discounts and corporate/retreat packages are available — let's build your vision together.
